			<content:encoded><![CDATA[<p>David Cameron is expected to give his first “Green” speech for two years today. The Clean Energy Ministerial is taking place from April 25th-27th where it is anticipated the government will bring forward their hopes for the environmental agenda for the UK.<br />
As a company with first-hand experience of the green benefits that technology can bring, Questmark are using the occasion to launch our campaign to boost British business. We believe in the green agenda but more importantly we believe that for the green initiative to really make an impact the solutions need to be economically and socially beneficial as well.</p>

			<content:encoded><![CDATA[<h1 style="text-align: left;">Questmark have finally found something that they just can’t do via video… Climb a mountain!</h1>
<p style="text-align: left;">And not just any mountain… four team members from Questmark have signed up to take on Kilimanjaro in a week long climb in early 2013 to support the charity TACT.</p>
<p style="text-align: left;">TACT (formally The Adolescent and Children’s Trust) supports<a href="http://www.tactcare.org.uk/" target="_blank"><img class="alignright size-full wp-image-662" title="tact logo" src="http://www.questmark.co.uk/cms/wp-content/uploads/tact-logo.jpg" alt="" width="120" height="89" /></a> children and young people in care. It provides loving families and a voice for vulnerable children.</p>
<p style="text-align: left;">TACT has been a customer of Questmark for a number of years and is a cause which we have always supported. In tackling the summit of Kilimanjaro we are aiming to bolster the funds and awareness of TACT and its vital role throughout the UK.</p>
<p style="text-align: left;">Our brave team consists of our CEO Sam McMaster, two of our colleagues in accounts; Becky Bestwick and Joanne Bellamy, and Helen Cruse from our ServiceDesk.</p>
<p style="text-align: left;">Of course Sam has pledged that he will endeavour to engineer and arrange a video conference from the summit, though in the meantime the focus for the four now is on the physical training to prepare for the climb.</p>
<p style="text-align: left;">In addition to adding a bit more walking to their weekly schedules, the team have pledged to raise over £20,000 for TACT so we will be posting updates regarding our fundraising activities. Expect a few events, opportunities and competitions for customers, partners, suppliers and friends and family alike.</p>

<p>If you’ve invested in video conferencing then you’ve seen the potential. Whether that be; reducing costs, improving the work/life balance of your employees, saving time, building stronger teams, reducing your environmental impact….</p>
<p>But it’s only <strong><em>potentia</em>l. </strong>That is<strong> </strong>until people start using video conferences as genuine alternatives to some in –person meetings.<br />
By helping other members of staff to realize the business, operational, and financial benefits of video communication you can start really benefiting.<br />
We have drawn up a list of great tips for really increasing awareness and speeding up adoption in your organisation:</p>
<ol>
<li>For each location nominate a “champion” Someone internally in the office who can be the go-to for all things video conferencing. They don’t have to be a technical expert but someone who can promote usage, shout about video and in terms of support just know the right people to liaise with</li>
<li>Ensure that whenever video conferencing is established that expectations are met. So for example; practice calls, room booking procedures, in-room documentation, support contact lists, and a company directory that is ready and easy for anyone to access means that users will have confidence in video conferencing and aren’t left very confused in a room with a screen and a remote.</li>
<li>Really launch the fact that you have video conferencing in your office and let people know which other offices have it as well. Just letting people know that it is available and that it is something which the company is encouraging makes a big difference. So launch it all, maybe with a party, getting other users to speak, introducing clients that you know are video enabled and setting –up usage incentives will encourage people to try video at least once – and because “Seeing is Believing” a trial call is almost guaranteed to lead to a culture of video. </li>
<li>Promote your video conferencing systems. So people know <em>why</em> they should be using video. Promotion should be <strong><span style="text-decoration: underline;">a)</span></strong> benefits to the company and <strong><span style="text-decoration: underline;">b)</span></strong> benefits to the <em>user. </em>So that’s reducing travel expenses and wasted time, cutting down on frustrating trips as well as promoting the fact that less travelling to meetings means more employees will be home on time by 17:30, there is more flexibility, and great environmental benefits. Most importantly praise usage. Highlight how… many hours/,much money/much CO2 has been saved at regular intervals so the benefits are proved to users every few months or introduce an incentives scheme for those regular users who are improving team work, improving relationships or have reduced their travel the most extensively.<br />
Offering examples and case studies is a great way to get imagination flowing – video works for all teams and the more usage there is across the whole company the more benefits there are for everyone.</li>
<li>Train Users. Making sure that users are comfortable using video conferencing means that they will want to. If the technology looks too confusing or goes wrong the first time it is used then all the benefits aren’t being realised. Training sessions, in room documentation or simple “how-to” posters can give users that extra sense of confidence.<br />
Training programs like SimplicityTraining and immediate Helpdesk support with SimplicityHelpdesk have made our customers the industry leaders in usage figures. (Something we like to shout about for them!)And the other aspect to training includes not just the technical “which button to press” stuff but setting up the room, establishing video etiquette, a set of rules in your organisation that means video meetings run much more smoothly and effectively.</li>
<li>Track usage and get as much opinion as possible. Sometimes you’ve forgotten something in your promotion- gaining feedback can help you notice common complaints (Problem: There is too much glare on the screen, Solution: shut the blinds and turn the artificial room lights on)<br />
Some of the most common queries can be answered with very little difficulty:<br />
- The room is always booked so maybe it’s time to expand.<br />
- Maybe some members of staff want to use it on the road – can it be rolled out onto mobile devices?<br />
- Maybe IT departments aren’t quick enough at responding.<br />
- Maybe someone keeps switching the system off or playing with wires…<br />
All these problems can mean that video meetings don’t start on time, aren’t high quality and lose their impact and are all very simple to resolve&#8230; So don’t let complaints fester and lead to motorways full of employees. Interacting with users (and non-users) should give a great indication of where/how to increase adoption.</li>

Promotion should be <strong><span style="text-decoration: underline;">a)</span></strong> benefits to the company and <strong><span style="text-decoration: underline;">b)</span></strong> benefits to the <em>user. </em>So that’s reducing travel expenses and wasted time, cutting down on frustrating trips as well as promoting the fact that less travelling to meetings means more employees will be home on time by 17:30, there is more flexibility, and great environmental benefits. Most importantly praise usage. Highlight how… many hours/,much money/much CO2 has been saved at regular intervals so the benefits are proved to users every few months or introduce an incentives scheme for those regular users who are improving team work, improving relationships or have reduced their travel the most extensively.<br />
Offering examples and case studies is a great way to get imagination flowing – video works for all teams and the more usage there is across the whole company the more benefits there are for everyone.</li>
<li>Train Users. Making sure that users are comfortable using video conferencing means that they will want to. If the technology looks too confusing or goes wrong the first time it is used then all the benefits aren’t being realised. Training sessions, in room documentation or simple “how-to” posters can give users that extra sense of confidence.<br />

<p>And the other aspect to training includes not just the technical “which button to press” stuff but setting up the room, establishing video etiquette, a set of rules in your organisation that means video meetings run much more smoothly and effectively.</li>
<li>Track usage and get as much opinion as possible. Sometimes you’ve forgotten something in your promotion- gaining feedback can help you notice common complaints (Problem: There is too much glare on the screen, Solution: shut the blinds and turn the artificial room lights on)<br />
Some of the most common queries can be answered with very little difficulty:<br />
- The room is always booked so maybe it’s time to expand.<br />
- Maybe some members of staff want to use it on the road – can it be rolled out onto mobile devices?<br />
- Maybe IT departments aren’t quick enough at responding.<br />
- Maybe someone keeps switching the system off or playing with wires…<br />
All these problems can mean that video meetings don’t start on time, aren’t high quality and lose their impact and are all very simple to resolve&#8230; So don’t let complaints fester and lead to motorways full of employees. <p align="left">The main selling feature of video conferencing has to be that it cuts down on travel.  Take a look at any of the posters, advertisements, billboards; speak to any of the sales teams and behind a few technical acronyms and numbers the business case has always been about saving time and money – because you don’t have to travel.</p>
<p align="left">And no doubt this is an absolutely vital part of video conferencing and the reason why the return on investment is so high with this technology. However, does this idea put off those companies who just aren’t spending that much on travel? Are opportunities being missed? Is this particularly focused in the SME sector?</p>
<p align="left">What sparked my investigation into the possibilities here was speaking to the IT Director from Property Management Company; Smiths Gore. Before I get into too much detail I will admit the original Smiths Gore investment was decided upon to reduce travel amongst their 13 main locations (so not a <em>small </em>company by any means). However once the investment was completed the possibilities of video started to materialise themselves in different ways.<a href="http://www.questmark.co.uk/cms/news/577/attachment/exchem-quote-2-4" rel="attachment wp-att-596"><img class="alignright size-thumbnail wp-image-596" title="Exchem quote 2" src="http://www.questmark.co.uk/cms/wp-content/uploads/Exchem-quote-21-150x150.jpg" alt="" width="174" height="174" /></a></p>
<p>As part of a case study that Cisco conducted, Smiths Gore highlighted something new “Many of our <em>clients </em>use video conferencing now… It helps to give us a competitive edge”</p>
<p align="left">This has emphasised a growth in the video conferencing market which whilst not a secret seems to have all of a sudden become widespread enough to warrant a whole new potential customer base. Video conferencing only works if you have someone to video conference to, so whilst traditionally that was companies with multiple offices separated all over the country or the world, as the industry grows video is becoming as accessible as telephones –and imagine trying to sell your services or products without a telephone? Video conferencing therefore is more than a technology reducing travel it is becoming a tool for opportunity.</p>
<p align="left"><strong><span style="text-decoration: underline;">Making Big Decisions Simple</span></strong></p>
<p align="left">Taking another example, Nottingham based tooling manufacturer RD leverage invested ina new board room, fully equipped with video conferencing, and most importantly dedication to the idea that video should be part of their business structure. From their moderate HQ the benefits were realised in less than a year. Switching telephone calls to video meetings means communication is better (particularly beneficial when speaking internationally) this in itself has meant decisions are getting made faster and reaction times are speedier. What marked the RD Leverage investment out as an all-around success was the savings made over one project. Video conferencing negated the need to travel between the two project sites in Missouri and Nottingham. The importance of video in this example though was that it actually enabled the decision to start the project an easy one. Knowing £25,000 wasn’t a pre-requisite to the project gave a confidence and excitement to take a risk in a new project.  Many other organisations have used a similar logic to build up their export capabilities or expand their operations internationally.<a href="http://www.questmark.co.uk/cms/news/577/attachment/commontime-quote" rel="attachment wp-att-582"><img class="alignright size-thumbnail wp-image-582" title="Commontime quote" src="http://www.questmark.co.uk/cms/wp-content/uploads/Commontime-quote-150x150.jpg" alt="" width="184" height="182" /></a></p>
<p align="left"><strong><span style="text-decoration: underline;">Are You Missing Out on Opportunities?</span></strong><strong><span style="text-decoration: underline;"><br />

There are even rumours in the marketplace that one mayor high street retailer won’t deal with suppliers who aren’t video enabled. Where does that leave the creative SME’s, the UK designers, manufacturers?  From my findings I’d say with opportunity. Video conferencing brings with it cost savings, worldwide communication and lets be a bit style over substance because video also presents a very professional image. <strong></strong></p>
<p align="left">Now imagine selling yourself to a potential customer with video conferencing not only to make you stand out, make you as reliable and contactable as the big well-known brands but once you’ve won the business,  you are keeping it: “meet face to face twice as often at half the costs” Its building a better relationship – because it’s so accessible.</p>
<p align="left"><strong><span style="text-decoration: underline;">Future Proofing any Risk   </span></strong></p>
<p align="left">The benefits are there, the potential is there and maybe we haven’t quite got to the floodgates yet, but it appears to be coming and for those early to the doors the opportunities are there to be reaped. And for pioneers the message is: “it’s coming” and that mitigates a lot of the risk when presenting a business case.</p>
<p align="left">And to put it into figures from Infonetics Research : If it is estimated that over the next 5 years video conferencing will account for $22 billion in sales up from $2.99 billion in 2011, the power of communication wins yet again.</p>
<p align="left"><strong><span style="text-decoration: underline;">Fool-Proofing your Business</span></strong></p>
<p>So it does improve communication, and the cost of good quality communication is more than just petrol prices. However as figures would suggest are there even more reasons why businesses are coming forward and wanting to use this technology?<br />
Being able to react to situations quickly and definitively is crucial to the business process. When the winter of 2010 saw some of the worst snow for years the estimated cost to the UK economy was £1.2billion per day. Flights were grounded, roads closed, weeks persisted with meetings put on hold, business leaders stuck out of the country, decisions not being made, deadlines being missed.  The same situations are growing ever more common, Icelandic volcano eruptions, fuel strikes, floods, road closures.<br />
Whilst this was going on video conference users sat there smugly. They had either organised their meetings via video or on the lesser occasions when travel was called for they had access back to their boardroom even if it was only via a laptop and webcam.<br />
Preparing your businesses for activities out of your control is vital and especially so for SME’s. The business case for insuring your business: what is the cost of these kinds of impacts?</p>
<p align="left"><strong><span style="text-decoration: underline;">Staff Considerations</span></strong></p>
<p>It is not only disasters that can force the hand for a video conferencing purchase. Even more daily activity can be enhanced with video conferencing. For the last fifty years the “work/life balance” argument has been at the forefront of workplace news. Maternity leave, paternity leave, school hours, school holidays, long term illness, stress, flexible hours… video conferencing for many customers can offer a solution for a range of options here. Working from home can unburden staff pressures so a couple of days of home working scheduled in a week can be a great idea, with video conferencing it means an extra level of connection to the office and if something critical comes up – a video meeting can be arranged immediately to help (and that’s either a customer facing meetings, internally or a mixture of all three) </p>
<p align="left">One national charity BTCV has twelve home systems around the whole of the UK used to connect remote workers in face to face meetings immediately wherever they need them. Video conferencing in this instance has allowed powerful communication without not only the cost of travel but without the need for an entire office in many remote locations.</p>

<p align="left"><strong><span style="text-decoration: underline;">Figuring out if its right for you</span></strong><br />
And whilst I started this article looking at the less shouted about benefits to video conferencing I did take time to look at reducing travel costs from the perspective of an SME.<br />
If you want an upgrade from a Skype type service to a business class way of doing video it is proven to be cost effective and despite a common concern it truly doesn’t cost a fortune. Taking a very quick look at what’s out there in the video conference market and a few common business trips I have drawn up with the help of my calculator and averages on the internet a couple of examples. Take a look at my findings. Figures are based on the AA rate (45p per mile) for travel costs per mile and the average allowance for businesses.</p>

<p align="left">With petrol prices on a continuous rise even for those businesses which don’t have offices in every city around the UK, if video conferencing meant one less trip abroad or 5 less trips a year from Liverpool to London then video conferencing pays for itself in less than a year.</p>
<p>It has powerful advantages to your business at comparatively low prices. And I think it backs up the ethos of my article which is; even if you aren’t quite hitting those travel costs to justify £ for £ the expense of video, the advantages are more than just that. It helps if there is a measure but looking back on the earlier points in this article, if you are looking for business security and business growth then look at video.</p>
<p align="left"><strong><span style="text-decoration: underline;">The benefits are there, so should you as an SME be investing?</span></strong><span style="text-decoration: underline;"><br />

Do your clients, customers, partners, and suppliers use video?  Not yet? Do your future clients use video? Are you aiming to get a contract with a multinational organisation? Is it worth the risk?  Will it become more of a reality as the video conference sales curve continues in an upward route? Do you want to be the pioneer that others follow? Do you want to expand at lower costs?</p>
<p align="left"><strong><span style="text-decoration: underline;">Try before you Buy</span></strong></p>
